HappyPixel Agency ("we", "us", "our") operates PixPay at app.mypixpay.co.uk. This Privacy Policy explains how we collect, use, and protect your personal data when you use PixPay. We are committed to protecting your privacy and complying with UK GDPR and the Data Protection Act 2018.

1. Data We Collect

We collect the following personal data when you use PixPay:

• Account information — your name, business name, email address, and password
• Business profile — your address, phone number, VAT number, and bank details you choose to add
• Client data — names, email addresses, and contact details of your clients that you add to PixPay
• Invoice data — invoice content, amounts, dates, and payment status
• Payment information — Stripe account details and transaction references (we do not store card numbers)
• Usage data — how you interact with the service, browser type, and IP address

2. How We Use Your Data

We use your data to:

• Provide and operate the PixPay service
• Send invoices and payment reminders on your behalf
• Process subscription payments
• Send service-related communications including receipts and security alerts
• Improve and develop the product
• Comply with legal obligations

3. Legal Basis for Processing

We process your personal data on the following legal bases under UK GDPR:

• Contract — processing necessary to provide the PixPay service you have signed up for
• Legitimate interests — improving the service, fraud prevention, and security
• Legal obligation — complying with applicable laws and regulations
• Consent — where you have explicitly consented to specific processing

4. Data Sharing

We share your data only with trusted third-party service providers necessary to operate PixPay:

• Supabase — database hosting and authentication (EU servers)
• Stripe — payment processing
• Resend — transactional email delivery
• Vercel — application hosting

We do not sell your personal data to third parties. We do not use your data for advertising purposes.

5. Client Data

When you add client information to PixPay you are acting as a data controller for that data. You are responsible for ensuring you have a lawful basis for storing and processing your clients' personal data. PixPay acts as a data processor on your behalf for this data.

6. Data Retention

We retain your account data for as long as your account is active. If you delete your account we will delete your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes such as financial records which may be retained for up to 7 years.

7. Data Security

We implement appropriate technical and organisational measures to protect your personal data including encryption in transit and at rest, secure authentication, and access controls. However no method of transmission over the internet is 100% secure.

8. Your Rights

Under UK GDPR you have the following rights regarding your personal data:

• Right to access — request a copy of the data we hold about you
• Right to rectification — request correction of inaccurate data
• Right to erasure — request deletion of your data in certain circumstances
• Right to restriction — request we limit how we use your data
• Right to portability — receive your data in a portable format

PixPay is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from children.
